A firm of chartered accountants in Cornwall is using technology to help clients access information in a more efficient way.
Lang Bennetts, which has offices in Truro and Falmouth, is currently running a structured roll out of a new web portal that will allow clients to securely share information via the Internet.
The portal - OpenSpace - also uses an encrypted connection to secure sensitive information.
Lang Bennetts’ manager, Paul Burrows, said: “We’ve been running a gradual roll out of OpenSpace with our clients and the feedback we’ve had is incredible.
“The portal will allow us to share tax returns, accounts and other documents, as well as allowing clients to electronically sign files.
“The system is more secure than email, more efficient than sending documents in the post and helps to save time, reduces paper usage and postage costs.”
The implementation of the system will also allow Lang Bennetts to be one step closer towards becoming a paperless office.
Paul added: “As part of our efforts to become even more sustainable, our offices are now almost completely paperless.
“OpenSpace will dramatically cut down the amount of paper we use by allowing everything to be done through the portal.”
One company already benefitting from the system is Cornwall Glass and Glazing Limited.
Martin Phillips, finance director at Cornwall Glass and Glazing Limited, said: “We’re really impressed with OpenSpace.
“It helps us to focus on the business as everything is there at the touch of a button, while it also saves us time and costs.
“We’ve found it to be incredibly secure and we use the portal to exchange files with the Lang Bennetts team rather than via email.
We also sign many documents this way as it saves us having to deal with paper documents.”
The system also allows clients to upload files for Lang Bennetts to view and fully complies with UK data protection guidelines.
